Established in 2013, Summoner's Stories is a fan-run, not-for-profit organization based in Southern California dedicated to creating memorable gaming, anime, and Asian pop-culture events.Our volunteers are recruited and trained to help bring events to life, which include cosplay, interactive activities, and even performances designed for fans, by fans.From our start as a League of Legends–themed maid café where we hosted viewing parties and supported esports events, we’ve grown into a trusted name in fan events. Today, we’re proud to create immersive experiences from pop-up cafés to unique activations.Though we personally fund nearly every event, our greatest reward comes from our community itself, whose energy and support fuel our passion and remind us why we do what we do.

Your own good judgment and courtesy towards others are key. Ask and receive consent whenever you interact with Cosplayers, staff, and other attendees.Respect each others' boundaries and differences.Harassment, insults and bullying is never acceptable.Please watch out for each other, take care of one another, help those who need help, and be careful. Stay clean, stay sober, and stay safe!Please don’t leave the Event with strangers, and make sure your friends know when you leave or if you are going home early. Minors, when allowed to attend, should always stay with their guardian or parent and never follow after any unknown adults.Please don’t hesitate to notify staff or event security if you see anything suspicious. Make sure to follow instructions from local law enforcement, Event Staff, Venue Staff, Security, and any listed signage.To participate in and/or attend any event organized by Summoner's Stories, (referred to below as the “Event” regardless of event name and type), you must comply with this Code of Conduct in order to attend and/or participate in these Events. We reserve the right to modify and/or update any code of conduct and attendee policies at any time without prior notice.
Violation of this Code of Conduct may result in forfeiture of your Event badge, your expulsion from the Event and any of the event-related Discord servers, termination of any staff and volunteer positions and/or restriction from attending future events.Where the Code of Conduct refers to “The Event's written consent”, such written consent may be in the form of a separate written exhibitor/sponsorship agreement, vendor agreement, facility rental agreement, or other form of written agreement or permit. The Event Facilities, event hotels, and all other places where any Event programming is scheduled are “Event Facilities”.PROHIBITED ACTIONS AND ACTIVITIES
The following, as such violations are determined in our sole discretion, are not permitted at the Event or its surrounding areas, including the parking lots, hotels, plazas, and structures:Failure to be appropriately clothed, as determined by the sole discretion of the Event organizers.Please follow local laws, rules, and regulations when selecting your costume or outfit.Assaulting, threatening, behaving inappropriately to another person, discriminating conduct of any nature whatsoever, making racial, religious, ethnic, national origin, sexual orientation, gender, or other slurs, bullying, and/or expressing any act of hatred towards another.
Lewd or offensive behavior, such as profanity, obscene language or conduct, exposing nipples or genitals, making recordings in bathrooms, bedrooms, or of nipples, genitals or up skirts.Conducting commercial or business transactions without the Event's prior written consent, including without limitation, selling food or beverages from unauthorized carts, stands, or ice chests inside or outside Event venues; solicitation of money, contributions, or donations; distribution of commercial advertising or promotional material of any kind, such as signs, flyers, cards, or offers of discounts on rides, or other products or services; or offering items or samples of items which are sold, available for sale, or available in exchange for a donation or contribution.Unlawful conduct or failure to comply with the policies, rules, or instructions of Event staff, the Event facility, venues affiliated with the Event, or law enforcement officers.
Any noise or music that is disruptive to other attendees or the operation of the Event.Attaching stickers, adhesives, signage, or attachments of any kind to walls, ceilings or any Event Property within Event premises.SMOKING/VAPING
Never Inside: No smoking or vaping is permitted inside any of the Event Facilities, unless there is a place specifically designated by the Event Facility that permits either.Limited Outside: Smoking or vaping must be at least 20 feet away from all entrances per California Government Code Sections 7596-7598; no smoking is permitted in outdoor dining areas.ALCOHOL AND ILLEGAL SUBSTANCES
Possessing any open can, bottle or other receptacle containing alcoholic beverages is not allowed. Possessing any illegal substance.We DO NOT tolerate illegal substances in or around Events.
Any action that impedes the flow of traffic, creates a potential or actual hazardous condition, or is deemed to interfere with the Event.OTHER UNPERMITTED ACTIVITIES
Individuals may be asked to move, discontinue their actions, relocate or terminate an activity in order to disperse a crowd which impedes traffic flow.No Soliciting / Riding Hoverboards / Skateboards / Non-ADA Scooters / Segways / Using Roller Skates / Roller BladesAny activity prohibited by law and/or prohibited by any Event FacilitiesPROHIBITED ITEMS
Stilts, Weapons, including prop weapons or anything that can be mistaken as a weapon
Drones / UAV’s, Illegal Substances
All signs, whether for a costume prop or not, are prohibited unless approved by Event staff.Lasers or Similar Items
Motorized Vehicles (i.e. go-karts or kids’ battery-operated vehicles.)Wheeled Carts / Wagons / Confetti / Loose GlitterFlammable Liquids / Open-Flame UseAll bags, regardless of size, are subject to inspection at any time. Clear bags are recommended to enhance safety inside and outside the venue and speed the security screening process.

Summoner’s Stories is a fan-run, volunteer-based, not-for-profit organization that creates community-driven events around the things we love. Our past events include Deepspace Gala, cosplay gatherings at Anime Los Angeles and unique activations dedicated to a variety of IP at Anime Night Mart.Whether you want to help behind-the-scenes, cosplay for us, or simply join our community space, there are a few ways to get involved. (For those who want to actively help run and support our events)DEFINING ROLES:
As our events and community have had the privilege to grow, we’re taking steps to better define how people can get involved. Creating these clearer role expectations helps us open up more opportunities for everyone.GENERAL INFO ABOUT VOLUNTEERING:Perks and benefits:
Benefits vary per event but can include: convention badges, resume-building experience, access to event goodies, and free dance workshops or photoshoots, and opportunities to collaborate with industry professionals across the entertainment industry.All event costs are personally covered by Head Staff out of our own pockets. In some cases, we may choose to assist with travel, lodging, costume, or related expenses at our discretion; this support varies by circumstance and is not guaranteed or exchangeable for cash.Common event responsibilities throughout these volunteer opportunities include:
Engaging, chatting, taking pictures, and playing games with our guests. Duties may also include greeting attendees, handling ticketing/cashier duties, manning our photo booth, enforcing rules, managing lines, distributing swag, providing information, and other services to ensure the comfort of guests.Some events may also include additional roles such as cosplayers or performers, which involve a higher level of visibility and preparation and may have separate sign-ups, guidelines, or requirements.

Head Staff
Summoner’s Stories Head Staff guide the overall direction of our events and Summoner’s Stories as an organization. They are responsible for planning, coordination, decision-making, and long-term vision, as well as supporting the rest of the team. They oversee how events come together and lead on-site execution.Head Staff are expected to maintain a high level of involvement across all of our events throughout the year. This includes attending regular planning meetings (which may be as frequent as weekly during active planning periods!), staying up-to-date through Discord, and playing an active role in event planning and execution from start to finish.Head Staff Qualifications:

Staff
Summoner’s Stories Staff members are part of our ongoing team and serve as a consistent presence across our activities.Staff may:
• Represent our organization at events and partner activations
• Support event planning / execution and attendee experience
• Help carry out event plans and workflows set by Head Staff
• Communicate with attendees, vendors, and collaborators as needed
• Maintain continuity across multiple events throughout the yearStaff roles are best for people who want to be regularly involved and available across events, particularly in an event planning / execution / support capacity.Staff are expected to commit to meetings and volunteer at at least 50% of events per year. For example, if we have 6 events during the year, you must staff 3 of them. You will be asked to keep up with communications through Discord and email.Staff Qualifications:
• Must have been involved with at least 2 Summoner’s Stories events within the last 2 years
• At least 18 years old
• Local to or willing to travel to Southern california
• Have reliable transportation
• Committed to attending mandatory meetings
• Able to create or purchase outfits varying by event (as needed)
• Grant Summoner’s Stories permission to use media of you for promotional purposesDesired Qualifications:
• Related experience (customer service, event staffing, etc.)
• Being friendly, reliable, and committed

Corps
Corps support our events on a flexible or project-based basis. They are a network of individuals who we will reach out to for specific event roles or contributions to projects or initiatives, such as cosplayers or performers. Some events may have separate sign-ups for specific roles. We also reserve the option to reach out directly to members of our Corps Network as needed.Those part of this network may get first access to these opportunities per our discretion:

Internship Program (2 Spots Available)
Our internship program is designed for university students or those early in their career who want hands-on experience in event planning and creative operations.Interns work closely with our Head Staff and get exposure to:
• Event Planning and Logistics
• Finance and Budgeting
• Vendor Communications
• Marketing and Creative DesignThis program will run through Q4 and includes bi-weekly meetings.Intern Qualifications:
• At least 18 years old
• Preference will be given to those in junior or senior year of university at the time of applying
